High Performance Travel Limited · New Zealand Privacy Act 2020 · Effective 30 July 2026 · Booking Terms · Legal & Trust
Our promise, in plain English
We collect the information we need to plan and run your trip properly — nothing more. It stays with us. We never sell it. We only pass details to the airlines, hotels, event organisers and other suppliers who need them to deliver the travel you've asked us to arrange. You can ask to see, correct, or delete your information at any time.
This policy explains how High Performance Travel Limited ("HPT", "we", "us") collects, uses, stores and protects your personal information, in line with the New Zealand Privacy Act 2020.
Who we are
High Performance Travel Limited is a New Zealand-owned travel and events company operating as a broker within the New Zealand Travel Brokers network. NZ Travel Brokers Limited holds the TAANZ membership and the IATA accreditation; our bookings are covered by them as a partner in that network.

What we collect
Depending on how you deal with us, we may collect:
- Contact and identity details — name, email, phone, address, date of birth.
- Enquiry and wishlist information — the trips, events and packages you ask about or save on our website.
- Booking and travel details — passport information, travel dates, departure city, seating and room preferences, frequent flyer numbers, travel companions and group details.
- Health and safety information you choose to give us — dietary requirements, medical notes relevant to your travel, emergency contact details.
- Payment and billing information — invoicing details and payment records. Card and bank payments are processed by our payment providers; we do not store full card numbers.
- Website and communication data — enquiries, emails, WhatsApp messages, account activity in your client portal, and cookie/analytics data (see Cookies below).
Most of this comes directly from you — through our website, your client portal, email, phone or WhatsApp. If someone books on behalf of a group, they may give us details for other travellers in the group; we treat that information the same way.
Why we collect it
We use your information to:
- respond to your enquiries and prepare quotes and proposals;
- book and manage your travel — flights, accommodation, transfers, tickets, cruises, insurance and related services;
- run your client portal, itineraries, travel documents, invoices and receipts;
- meet safety, border and supplier requirements for your trip (for example passport details for airlines, dietary needs for caterers);
- keep in touch about your booking before, during and after travel;
- tell you about future tours, events and travel offers we think you'll care about — you can opt out of marketing at any time via the unsubscribe link in any email, or by contacting us;
- meet our legal, accounting and TAANZ / NZ Travel Brokers obligations.
Who we share it with — and who we don't
Your information is not sold, and not shared with any other company for their own use. We disclose it only:
- To travel suppliers, to arrange the travel you've requested — airlines, hotels, coach and transfer operators, event and ticketing partners, cruise lines, tour operators and travel insurers. We give each supplier only what they need to deliver their part of your trip. Some suppliers (for example Australian event organisers and hotels) are overseas; where information goes offshore we take reasonable steps to ensure it is protected to a comparable standard, as the Privacy Act 2020 requires.
- To NZ Travel Brokers, for billing, ticketing and client-fund handling through the NZTB trust account arrangements that protect your money.
- To our service providers who host and support our systems (for example secure hosting and email delivery), acting only on our instructions.
- Where the law requires it — for example to border agencies, or where we must comply with a legal obligation or protect someone's safety.
Where your information lives, and how it's protected
Your travel records are held in HPT's secure operations systems, hosted on servers provided by our hosting partner SiteGround. Protections include:
- encrypted connections (HTTPS) across our website and client portal;
- passport details stored encrypted (AES-256-GCM), with passport images held in a private directory that is blocked at the network edge and carries no index or link anywhere on the site, under a randomly generated filename that cannot be guessed. Access is limited to us and to you: you can view and replace your own passport image from your client portal
- medical notes and emergency contacts kept private within your file, and shared only where needed for your safety on tour;
- passwordless "magic link" portal sign-in — no passwords for us to lose;
- firewalls, security monitoring, two-factor authentication on administrator accounts, and regular backups.
No system is perfectly secure. If a privacy breach ever occurs that risks serious harm, we will notify you and the Office of the Privacy Commissioner, as the Privacy Act 2020 requires.
How long we keep it
We keep your information so we can look after your future travel — your history with us helps us plan better trips for you — and to meet our legal and accounting obligations. We retain your records until you ask us to delete them. When you request deletion we will remove your personal information, except what we are legally required to keep (for example tax and trust-account records, which New Zealand law requires us to hold for seven years). We will tell you what, if anything, must be retained and for how long.
Cookies and analytics
Our website uses cookies to remember your wishlist, keep you signed in to your portal, and understand how the site is used so we can improve it. You'll see a consent banner when you first visit; you can accept, decline non-essential cookies, or change your choice at any time. The site works without non-essential cookies.
Your rights
Under the Privacy Act 2020 you can, at any time:
- ask for a copy of the personal information we hold about you;
- ask us to correct it if it's wrong;
- ask us to delete it (see How long we keep it, above);
- opt out of marketing while still receiving the communications about your booking;
- complain — first to us, and we'll respond quickly and personally; and if you're not satisfied, to the Office of the Privacy Commissioner (privacy.org.nz).
To do any of these, contact Tony directly: [email protected] or 022 169 4663.
Changes to this policy
If we change this policy we'll post the updated version here with a new effective date, and flag material changes to portal account holders.
